Purchase Order

Requisitions
Because your team members do not know your item codes, we allow for direct entry of suppler codes, descriptions and additional comments. Email notifications are automatically sent to buyers for incomplete requisitions to insure they do not remain in limbo. Approval limits by inventory type provide for a managed approval process.

Purchase Orders
Purchase items in one unit type and inventory in another, buy corn priced by the bushel and inventory with a unit price by the pound. Create purchase orders for non-stock items then directly expense without running through inventory. Predefine scheduled deliveries by item to track product shipments.

Supplier Pricing
Configurable market based pricing and contract pricing with effective dates and units insures accurate pricing. The ability to set prices when ordered or when received handles pricing for materials or commodities effectively.

Self Assessed Taxes
Suppliers do not always properly invoice for taxes. Self-accessing taxes insures you capture all inventory costs and properly remit tax liabilities.

Accrue Receipts
Purchase Order receipts that are not invoiced by the supplier can be accrued into the current accounting period and reversed out in the next accounting period until the invoice from the supplier is received.

Integration
Purchase Orders are received into inventory where the purchase price, freight cost and taxes are combined into a single unit cost. If needed freight dollars can be paid to a carrier vendor. The link to process joins the payable invoice to the purchase order receipts providing a three way match between purchase orders, inventory and payables.

Work Order

Formulas
Formulas define recipes for mixing feed or recording finished production. The ability to specify formulas as ingredients provides for accurate materials tracking or capturing premix requirements. Custom markups can also be predefined for each formula. Formula effective dates insure the proper mix is used during the formulation process.

Work Orders
Work Orders easily records production for multiple items or relieves ingredient inventory for feed formulations, while capturing ingredient costs. The work order processing screen calculates requirements, allocates inventory, relieves inventory and creates the finished product with a single click of a button. For integrated feed mill operations the finished feed can be transferred to a farm operation and expensed out while capturing additional expenses along the way.

Allocation & Production
Prior to allocation quantities can be calculated based on a recipe or entered manually into the work order. Automatic allocation is on a first in first out basis. Manual allocation provides for precise lot tracking. Production relieves raw materials while capturing costs for the finished products.

Batch Processing
A special batch processing screen allows for bulk production of multiple work orders. The batch processing screen provides all the same features for allocation, production, transfers and usage available in the work order processing screen.

Markups
User definable markups can be applied by unit or by batch. Markups can be stacked to capture multiple production expenses at each process level.

Integration
Work order integration allows for importing formulas and recording production from a feed mill or a shop floor automation system.

Inventory

Items
Our ability to track unit and pack quantities for a single inventory item sets us apart. We maintain unit counts and pounds for the meat industry and unit counts and dozens for the shell egg industry. Cost for each item can also be maintained by unit or pack quantity.

Transfers
Transfers allow for product movement between locations, divisions or companies. Transfers between warehouse locations can be tracked using a system generated bill of laden. If needed, markups can be applied to the unit cost as part of the transfer process.

Adjustments
Adjustments to inventory on hand for quantities, unit costs and cycle counts are straight forward and easy to use. Each adjustment is automatically coded to the appropriate financials account. Usage adjustments provide a quick and easy way to record consumption of inventory without creating sales orders.

Charge Outs
Define equipment in inventory then expense out inventory parts through the charge out process. Parts can be manually or automatically allocated on a FIFO basis. A charge out report lists each piece of equipment and the parts consumed including dollars.

Lot Tracking
Lot tracking can be as simple as unit cost and receipt date or detailed to specific lot numbers at a given bin within a location.

Integration
Fully integrated within ERP inventory records purchase receipts, work order production/allocation and sales order allocation. All activity is posted to the general ledger for both dollars and quantities.

Entering vouchers is quick and easy. Simply select a vendor then enter your invoice information. Terms, discounts and 1099 codes are automatically set for you. Capturing expenses is streamlined through the use of templates or the Purchase Order link process.

Payment Processing
Payment Processing is a breeze. Create multiple payment batches and remit via ACH or print to your custom check format. Positive Pay processing insures secure cash outlays. Then import your banks cleared checks to facilitate bank reconciliation.

Automation
Whether you are sending payment information to the bank via ACH or Positive Pay, importing cleared checks or importing payables from your vendor's electronic invoicing we have the solutions you need to participate in Ecommerce.

Vendors
Define a single set of vendors to be used across multiple entities of your organization. Then use 3rd Party pay to information to designate Payee's for liens and bank loans. Group vendors based on form function (i.e. Banks, Suppliers, Growers, Government Entities, Freight, etc.).

1099 Reporting
At year end be secure in knowing that 1099 forms and magnetic media reporting is correct and timely. If needed, we provide the tools to make yearend adjustments to the 1099 information.

General Ledger

Chart of Accounts
Our full featured chart of accounts is configurable up to 5 segments and 35 characters. Each account can be configured to post in summary or detail by sub ledger. We also provide the ability to capture units for statistical analysis purposes.

Financials
The system includes several canned reports with wizards to help structure P&L's for statistical analysis by department or profit center. All reports are exportable to Excel for additional analytics. Additionally, financials provide a wide array of consolidation options across companies, divisions and profit centers.

Journal Entry
Journal Entry functionality is complete and secure. Whether you enter manual entries, use standing entries or import distributions from Excel, you will find all the features you need to record your financial activity. If needed enter dollar amounts in other currencies and have the system automatically convert them to US dollars.

Statistics
Statistics is the ability to compare sales dollars to units. General Ledger captures units from Payables, Inventory and Sales activity. In addition, the General Ledger provides inputs for units by Profit Center or Account classifications which are available for Financials.

Budgeting
Enter an unlimited number of budgets for varying comparison purposes. Specify dollars and units where appropriate. Run comparative reports which can be exported to chart trends and review performance. Also provided is an Excel import feature to speed the setup process.

Integration
Activity from sub ledgers is journalized and posted to insure verifiable audits in the general ledger. Periods can be opened and closed by sub ledger which allows for effective management when balancing sub ledger data prior to journalization.
